Resume Format Guide 2026: Structure, Length and Layout That Convert

Format is not decoration — it decides what a parser extracts and what a recruiter notices in their first seven seconds. This is the layout that works across markets and systems.

The structure that works everywhere

Recruiters read in a predictable order, and parsers expect standard field names. Give them both: contact details in the body, a four-line summary, reverse-chronological experience, a compact skills block, then education and certifications.

  • Name, city/country, email, phone, LinkedIn — in the document body
  • Summary: role, years, domain, two proof points
  • Experience: company, title, dates, three to six bullets
  • Skills: grouped, no rating bars
  • Education and certifications, most recent first

Bullets that earn attention

Every bullet should answer "what changed because you were there?" Verb, action, result — with a number wherever one honestly exists. Aim for at least half of your bullets to carry a metric, timeframe, percentage or scale indicator.

Length, fonts and file types

Length signals judgement. Under five years of experience: one page. Five to fifteen: two pages. Academic or executive CVs may run longer, and some markets expect it.

Use a standard font at 10–12pt with generous margins. Export a text-based PDF for humans and keep a DOCX for systems that request it.

Country conventions to respect

Hiring norms differ, and getting them wrong reads as carelessness. Photos, dates of birth and marital status are expected in some markets and actively discouraged in others.

  • US & Canada: no photo, no personal data, resume language
  • UK & Ireland: CV language, two pages, references on request
  • Germany & much of Europe: photo and structured personal details still common
  • Gulf states: nationality and visa status expected
  • India & Asia-Pacific: certifications and notice period stated upfront

One master, many variants

Keep a master resume containing everything you have ever done, then generate a tailored, trimmed version for each application. This is the single highest-leverage habit in a modern job search, and it is fully automatable.

Format a resume that parses and converts: step by step

  1. 1Choose a single-column layoutOne column, standard headings, no tables, text boxes or header-stored contact details.
  2. 2Order sections by relevanceContact, summary, experience, skills, education — flip education first only for recent graduates.
  3. 3Write achievement bulletsStart with a verb, state the action, end with a measurable result.
  4. 4Set length by seniorityOne page under five years, two pages up to fifteen, three only for academic or executive CVs.
  5. 5Export and verifySave a text-based PDF and DOCX, then run an ATS parse check before applying.

Frequently asked questions

Is a one-page resume still required?

Only early in your career. Beyond five years, two well-organised pages read better than one cramped page with 9pt text.

Should I include a photo?

Follow the market. Photos are standard in parts of Europe and the Gulf, and discouraged in the US, UK, Canada and Australia.

Do creative resume templates hurt me?

Usually yes outside design roles. Columns, icons and graphics frequently break parsing, and the design rarely compensates.
